Terms of Reference for CPH Staff Council

Purpose:

The purpose of the College of Public Health (SPH) Staff Council is to promote collaboration, communication, and engagement among staff members, between staff members and faculty and students, and with the Dean’s Office.  The Staff Council serves as an advisory body to the School’s leadership team, providing input and recommendations on matters related to staff wellbeing, professional development, and workplace culture.

Responsibilities:
The CPH Staff Council has the following responsibilities:

  • Provide input and recommendations to the School’s leadership team on matters related to staff wellbeing, professional development, and workplace culture.
  • Provide input and feedback on CPH operations with faculty and CPH leadership team.
  • Promote communication and collaboration among staff members, and serve as a forum for sharing information and resources.
  • Organize events and activities that promote staff engagement and recognition, and support the School’s mission and values.
  • Identify and address issues and concerns affecting staff members in the School, and provide feedback and suggestions for improvement

Membership:
The CPH Staff Council is open to all staff members from across the School’s departments and units, representing diverse roles and perspectives.

Roles:
The CPH Staff Council Executive Team has the following roles:

  • Chair: The Chair is responsible for leading the meetings, setting the agenda, and representing the Staff Council in meetings with the School’s leadership team.
  • Vice-Chair: The Vice-Chair supports the Chair in their responsibilities, and assumes the Chair’s duties in their absence.
  • Secretary: The Secretary is responsible for taking minutes of the meetings, maintaining records, and communicating updates and decisions to the staff members.
  • Serve as a liaison between the School’s leadership team, faculty, and students.
  • A member of the CPH Staff Council Executive Team will also serve as a representative on the HSC Staff Senate.

Nomination Process:
Any active, full or part-time, staff member in CPH is eligible to become a member of the Staff Council Executive Team are eligible to serve a one-year term beginning September 1 and ending on August 31. Elections will be held annually to replace the Chair, Vice-Chair, and Secretary.  A CPH staff member may self-nominate or nominate another staff member, as long as they agree.

Terms of Appointment:
The Chair, Vice-Chair and Secretary are appointed for a one-year term, with the option of reappointment for an additional term.

Quorum:
At least 50% of the membership must be present for voting.

Meetings:
The CPH Staff Council meets bi-monthly, to discuss relevant topics and issues affecting staff members in the School. Meetings are open to all staff members, who are encouraged to attend and provide input.

Evaluation and Revision of the Terms of Reference:
CPH Staff Council terms of reference and membership shall be reviewed periodically, as needed, in consultation with the Dean.
