Guidelines for Completing the Communications and Marketing Project Request Intake Form
The HSC College of Pharmacy Academic and Business Communications office is here to help you achieve your goals. Whether you want to share a student or faculty spotlight story or promote an event, we want to ensure collaboration every step of the way.
Please note, all communications and marketing-related projects or requests—including but not limited to media inquiries, content creation, potential newsroom articles, event promotions, and other marketing materials—must be routed through the college’s Academic and Business Communications Office. This ensures that all materials align with our branding and marketing communications (MarCom) standards before execution. By centralizing requests, we help prevent duplication of efforts and maximize the success of each project.
For any project involving these areas, it is essential that the Associate Director of Academic and Business Communications is involved from the outset. This ensures smooth project flow and consistent communication, supporting cohesive, efficient execution aligned with our strategic goals.
The guidelines and form below will provide us with the information we need to get started on your request.
1. Be Clear and Provide Context:
- Provide straightforward descriptions and avoid jargon. Include relevant background information to help the communications and marketing team understand the purpose of the project and your specific needs.
2. Define Your Goals and Success Metrics:
- Clearly outline the objectives of your project and how they align with broader organizational goals. Also, think about how you will measure success (e.g., metrics or KPIs) to set clear expectations for outcomes when necessary.
3. Identify Your Audience:
- Specify the target audience, including demographics and any specific interests, to help tailor the messaging and channels used.
4. Specify Deliverables and Timeline:
- Clearly list all expected outputs (e.g., types of content, formats, quantities) and provide realistic timelines for project completion, considering any external factors like events or launches.
5. Budget and Resources:
- Indicate the budget available or provide a range if uncertain. If applicable, mention potential funding sources.
6. Involve Stakeholders and Clarify Approval Process:
- Identify key stakeholders to consult or inform early in the process to avoid delays. Clarify the steps for final approval to ensure alignment and prevent setbacks.
7. Review and Submit:
- Double-check that all sections of your submission are complete to avoid delays. Submit your request at least 10 days before the desired start date to ensure adequate planning and execution.
8. Use the “Other Notes” Section:
- This is your opportunity to include any additional information or specific details that could help the communications and marketing office with your project.
